When you're booking a room or spa treatment with us, we're gonna need some basics - your name, email, phone number, and payment details. Pretty standard stuff for any hotel, really.

We also pick up some technical bits automatically when you browse our site - things like your IP address, browser type, and which pages you check out. This helps us fix bugs and figure out what's working (and what's not).

If you're joining us for a spa day or signing up for one of our wilderness adventures, we might ask about dietary restrictions, accessibility needs, or fitness levels. That's just so we can tailor the experience and keep everyone safe out there in the mountains.

First and foremost - we use your info to actually provide the services you're paying for. Booking confirmations, reservation management, arranging your mountain view suite, that kind of thing.

We'll send you emails about your upcoming stay, any changes to your booking, or important updates. If you've opted in, we might also drop you a line about special offers or seasonal packages - but you can unsubscribe anytime, no hard feelings.

Behind the scenes, we analyze trends to improve our services. Like, if everyone's asking about dog-friendly rooms, that tells us something. We're also legally required to keep some records for accounting and tax purposes.

And yeah, if there's ever a security issue or legal obligation, we might need to use your data for that. But that's rare and we're not looking to cause drama.

We don't sell your personal info to marketers or data brokers. Full stop. That's not how we roll.

We do share some data with our service providers - the payment processor that handles your credit card, the email service that sends your confirmations, our booking system, that sort of thing. They're contractually obligated to keep it secure and only use it for what we've hired them to do.

If you book through a third-party site (like an online travel agency), they'll have their own privacy policies and we can't control what they do with your data on their end.

In the unlikely event of a legal request from authorities or if we need to protect someone's safety, we might have to disclose information. But again, that's super rare and we'd only do it when legally required.

We use industry-standard encryption (SSL/TLS) when you're transmitting sensitive data like payment info. You'll see that little padlock in your browser - that's the good stuff.

Our servers are secured with firewalls, access controls, and regular security audits. Only authorized staff can access guest information, and they're trained on privacy best practices.

Payment card details? We don't even store those ourselves - they go straight to our PCI-compliant payment processor. One less thing to worry about.

That said, no system's 100% bulletproof. We do our absolute best, but if there's ever a breach, we'll let you know ASAP and work with authorities to sort it out.

We keep your booking information for seven years after your stay - that's mainly for tax and accounting requirements here in Canada. After that, it gets securely deleted.

Marketing emails and preferences? We'll keep those as long as you're subscribed. Unsubscribe and we'll remove you from the list (though we might keep a record that you unsubscribed so we don't accidentally email you again).

Website analytics data is typically anonymized after a couple of years. We don't need to know what specific person looked at the spa page back in 2023, just general trends.

Under Canadian privacy law (PIPEDA), you've got some solid rights:

  • Access: You can ask to see what personal data we have about you.
  • Correction: If something's wrong or outdated, let us know and we'll fix it.
  • Deletion: Want us to delete your data? In most cases, we can do that (though we might need to keep some stuff for legal reasons).
  • Opt-out: Don't want marketing emails? Click unsubscribe or reach out to us.
  • Data portability: You can request a copy of your data in a common format.

If you're booking for a family with kids, that's totally cool - we just need the adult's info for the reservation. Any special requests for younger guests (like dietary needs or accessibility stuff) should come from a parent or guardian.

If we somehow end up with data from a child under 13 and find out about it, we'll delete it pronto. Parents, if you think this has happened, reach out to us immediately.

We might update this privacy policy from time to time - usually when laws change, we add new services, or we find better ways to protect your data.
